Inventory Validation
Inventory audit procedures ensure the physical count of raw material matches the recorded data in a warehouse management system. Press mark reconciliation involves the matching of unique identification numbers stamped or tagged on cotton bales with the corresponding shipping dockets and mill invoices. Each bale receives a press mark at the gin which stays with it until the ties are cut in the opening room.
This practice prevents the accidental use of the wrong cotton grade or the loss of specific lots in transit.
Matching Procedure
Staff at the receiving dock scan or record the marks on every bale as it arrives from the warehouse. These numbers are then compared against the master list provided by the merchant or the gin. Any discrepancy, such as a missing mark or a duplicate number, requires an immediate hold on the batch until the origin is clarified.
Digital systems often automate this by linking the bale weight and grade to the unique identifier in a central database.
